Docs2ai (“we,” “our,” or “us”) operates as a Software-as-a-Service (SaaS) platform providing Artificial Intelligence (AI) chatbots, automations, document processing, and related services (the “Service”).

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. By accessing or using our Service, you agree to the practices described in this Privacy Policy.

Information We Collect

When you use Docs2ai, we collect only the minimum information necessary to provide the Service:

1. Account Information

   • Business email address (required to create an account)

   • Name or nickname (optional)

   • Time zone (to enable timely alerts and notifications)

2. Payment Information

   • Payments are processed securely through third-party providers such as PayPal. We do not directly collect or store your full credit card or financial details.

3. Documents & Files

   • Documents you upload (PDFs, images, text, etc.) are temporarily stored for processing and human-in-the-loop verification.

   • Under our Zero Retention Policy, all uploaded documents are automatically deleted within 24 hours, unless explicitly retained for user-selected features such as Tables.

   • Extracted data, knowledge, and metadata may be retained in anonymized form only for document indexing, Tables, and chat-with-data functions.

   • We do not sell, rent, or share user documents, data, or metadata with any third parties.

4. Document Processing & AI Models

   • We extract text and perform data/knowledge processing using OpenAI’s API.

   • As a Tier 5 OpenAI Developer, we comply with OpenAI’s strict policies: text and data processed via their APIs are not used for training, nor shared with third parties.

Hosting & Data Location

All services are hosted on Microsoft Azure servers located in the United States.

How We Use Your Information

We use collected information only for the following purposes:

• Creating and managing your account

• Providing AI-powered data extraction and automation

• Generating alerts and notifications based on user-selected time zones

• Supporting and improving our Service

• Handling payments through third-party providers

Service Providers

We may rely on trusted third parties for:

• Hosting and infrastructure (Microsoft Azure, USA)

• Payment processing (PayPal, etc.)

• AI data extraction (OpenAI APIs)
   

These providers have limited access to your information solely to perform their functions on our behalf, and are bound by their own Privacy Policies you can check in their websites.

We take commercially reasonable measures to protect your personal information and documents. However, no method of transmission or storage is completely secure. We cannot guarantee absolute security.

Our Service is not directed to children under 13. We do not knowingly collect personal information from children. If we learn that we have inadvertently collected information from a child under 13, we will delete it immediately.
